One Bexley are committed to ensuring that your privacy and personal information is protected. We respect all personal information that you share with us, or that we receive from other organisations, and keep it safe. 

This privacy policy sets out how we use and protect any information that you give us.  We may change this policy from time to time and will update the Privacy Policy on our website. You should check these from time to time to make sure that you are happy with any changes.

What personal information we collect

Personal information is any information that could be used to identify you.

We may collect the following information:

  • Your name, contact details, date of birth etc 
  • Information relating to your health or support needs
  • Communication information (like your email address)

Why we collect your personal information

We mainly use your information to complete assessments and reviews to determine whether you need care and support.  We use information that we receive to help us improve the way which we communicate and work with you.  It helps us to provide a better service to you and to carry out our day-to-day work. 

We may only collect and process your personal information when the law allows us to.  We will only use your information for the reason it was collected for, or for closely related reasons.

Our most common legal basis for collecting your personal information is a legitimate interest.  This means that in order to provide you with the best support, advice and information, we need to collect your personal information.  We may also ask your consent to collect certain information but will give you information about why we need the information to help you make a decision.

Where we collect information about you from

When you give it to us directly:

  • To request support
  • In an assessment or review 
  • Communicate with us for services, queries or advice

When you give permission to other organisations to share it or it is publicly available:

  • When you ‘like’ or comment on our social media accounts
  • When you are referred to us for a service by another organisation
  • Through cookies on our website (see our cookie policy below)

How we use your personal information

We collect your personal information because we need it to help us provide a service to you, keep in touch with you, and offer you communications that are relevant to you.  This includes things like:

  • Keeping records about our work with you to improve how we support you
  • Using information provided to improve our services
  • Sending you emails about our services, events, important policy changes or other information which we think you may find interesting or need to know using the email address which you have provided
  • Responding to any complaints or queries

How we keep your data safe and who has access to it

We are committed to making sure that your personal information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to keep your information safe:

  • Electronic data and databases are stored on secure computer systems and we control who has access to them. All staff receive data protection training and we have data protection policies and procedures in place which teams are required to have knowledge of and adhere to.  
  • Only trained staff, volunteers and appropriate contractors have access to your information
  • We use external companies to support us in processing some of our data eg our database.  We have confirmed that these companies are GDPR compliant and manage personal information securely too.
  • We may need to disclose your details if required to police or regulatory bodies e.g. safeguarding concerns or legal advisors
  • We will only ever share your data in other circumstances if we have your explicit and informed consent

When we share your personal information

We will not sell or rent your personal information to third parties for the purposes of marketing, and we will not share your personal information for others to use in their marketing or fundraising activities.

We may share your personal information with other companies (e.g. subcontractors, suppliers) who provide services on our behalf, including delivering postal mail, sending emails or analysing data. We will only provide those companies with the information they need to deliver the relevant service, and we will make sure that your data is treated with the same level of care as if we were handling it directly. These activities will be carried out under a contract which imposes strict requirements on our suppliers to keep your information confidential and secure.

We may need to disclose your personal information if required to the police, regulatory bodies or legal advisors.


We will only ever share your data in other circumstances if we have your explicit and informed consent or if there is a legal requirement for us to do this.

How long we keep your personal information for 

How long we will keep your personal information for depends on the type of information it is and what it is being used for. For example:

  • if you are someone who receives support from us, we will keep your data for 6 years after we stop providing you with support
  • personal data used in relation to a safeguarding incident will be kept for a minimum of 75 years
  • if you ask us not to send you marketing emails, we will stop storing your emails for marketing purposes (although we will keep a record of your preference not to be emailed).

We have a Data Retention policy which lists the time periods which we keep information for, and this is reviewed on a regular basis.

Controlling your personal information

Under GDPR you have rights about the data that we hold about you.  These are:

  • The right to access your personal information
  • The right to edit and update your personal information
  • The right to request to have your personal information erased (also known as the ‘right to be forgotten’)
  • The right to restrict the processing of your personal information
  • The right to object to your personal information being used for direct marketing (including profiling) and processing for the purposes of scientific/historical research and statistics
  • The right to complain to a supervisory authority if you believe we have not handled your personal information in accordance with the data protection laws

You can contact us to make a complaint, raise a concern or change information we hold about you.  You can request details of personal information which we hold about you under the Data Protection Act 1998 by emailing onebexleypathways@bvsc.co.uk .  We will respond to your request within 40 days and will not charge a fee unless the request is deemed to be excessive.

What is a cookie?

Besides being a lovely biscuit with a cuppa; a cookie is a small piece of information that is stored on your computer by a website you visit.  Only that website is able to use and read the information. It will contain anonymous information such as a unique identifier, the website’s name and various letters and numbers.

Cookies may be either “persistent” or “session” cookies.

  • A persistent cookie is stored by a web browser and remains valid until its expiry date or deleted by the user.
  • A session cookie will expire at the end of the user’s session when the web browser is closed.

How we use cookies

We use cookies to help us improve your experience of our website in many ways:

  • remember certain information about you so you do not have to give the same information more than once
  • to share content from our website on your own social media
  • measure how people use our website so we can improve it.  We cannot identify anybody individually from this information
